Beacon Bridge Strategies

AI workflow automation and systems integration

Automate the work between your business tools.

One workflow. 30 days. Live automation. Measured improvement.

Beacon Bridge Strategies helps service businesses save time, reduce manual follow-up, and recover missed revenue opportunities by fixing and automating one high-value workflow at a time.

Fixed scope. Fixed price. One workflow per Sprint. A measured before/after — not promises.

02The Problem

The work between your tools is still manual.

Your team already has a CRM, an inbox, a calendar, forms, and spreadsheets. The problem is the work between them: leads that wait on someone remembering to follow up, quote requests that sit in a shared inbox, service requests retyped into three systems, handoffs that live in one person's head.

Most automation projects fail the same way: they automate a broken process.

We do not automate broken processes. We fix the workflow first, automate the highest-value path, and prove the result.

  • 01Missed leads and delayed follow-up
  • 02Slow quotes and slow responses
  • 03Duplicate entry across systems
  • 04Handoffs that depend on memory
  • 05Rework, errors, and lost visibility
03Manual Work Cost

Estimate what manual workflow handling costs before you automate it.

8 h
$45

Estimated manual-work cost

$18,720 / year

If this workflow qualifies and the estimate holds, a Sprint could pay for itself in approximately 24 weeks.

This is an estimate based on your inputs, not a guarantee. The Sprint's measured result is defined by one agreed metric in the SOW.

04What We Do

Workflow automation and systems integration for service businesses.

Beacon Bridge Strategies provides workflow automation, business process improvement, AI-enabled operations support, systems integration, and related consulting services — for 10–50 employee service businesses with repetitive manual workflows in intake, follow-up, quoting, scheduling, service requests, document handling, and admin operations.

01

Diagnose first

We map the workflow, capture a baseline, and select one automation path before anything is built.

02

Fix, then automate

We clean up the workflow enough to automate the agreed path reliably — automation first when rules are enough.

03

Measure the result

Every Sprint ends in a measured before/after against one agreed success metric.

05Tools We Commonly Connect

Built inside the tools your business already uses.

Vendor-neutral tooling is a non-negotiable rule: we recommend what fits your business, not what pays us.

  • CRM
  • Email platform
  • Phone / SMS
  • Forms
  • Scheduling & calendar
  • Task / project system
  • Shared drive & storage
  • Accounting / invoicing
  • Website / contact form
  • Chat / messaging
  • Spreadsheets & reporting
  • Document handling
06Common Workflows We Automate

One bounded workflow at a time.

  • Inbound lead capture → CRM update → owner assignment → follow-up task
  • Quote request intake → missing-info check → internal task → draft response
  • Service request triage → classification → assignment → customer update
  • Missed call, text, or email follow-up → reminder or response workflow
  • PO or order email → structured internal task or review queue
  • Appointment request → qualification → scheduling handoff
  • Document upload → field extraction → review queue → task assignment
  • Spreadsheet update → alert → task creation → status visibility
07AI Agents, Used Carefully

Automation first when rules are enough. AI only where it improves the workflow. Human approval where risk requires it.

Automation comes first when rules are enough. AI is added only where it improves the workflow through classification, summarization, extraction, drafting, routing, prioritization, or exception handling.

Human approval is required where risk, uncertainty, customer impact, legal exposure, financial exposure, clinical exposure, compliance sensitivity, or brand judgment requires it.

We do not sell fully autonomous business systems. We build controlled automation — a workflow your team can trust.

Where AI earns its place

  • Classification
  • Summarization
  • Field extraction
  • Draft preparation
  • Routing & prioritization
  • Exception handling
08The Blueprint Sprint

One workflow. 30 days. Live automation. Measured improvement.

A 30-day workflow automation sprint that turns one high-friction manual workflow into a live, measured automation using the tools you already have.

We identify one workflow costing the business time, follow-up, visibility, or missed revenue opportunities; fix the workflow path enough to automate it reliably; build the automation; and measure the before/after improvement.

Before

After

Each Sprint is limited to one workflow, one owner, one trigger, one start point, one end point, one primary success metric, and one defined set of systems. A Sprint is not a CRM rebuild, an ERP replacement, a software migration, or “automate all operations.”

09What You Get

Every Blueprint Sprint includes:

  1. 01Workflow diagnosis
  2. 02Baseline measurement documented before build
  3. 03Process cleanup limited to the agreed automation path
  4. 04One production automation build
  5. 05AI agent components where useful and appropriate
  6. 06Error handling and human handoff rules
  7. 07Basic documentation / SOP
  8. 08Measurement dashboard or improvement tracker
  9. 0990-day roadmap for next workflows
10Who It's For

10–50 employee service businesses with repetitive manual workflows.

For regulated industries, we focus on administrative, intake, routing, scheduling, document handling, status visibility, and internal handoff workflows. We do not automate legal, clinical, financial, or compliance-sensitive judgment without approved systems, permissions, controls, and human review.

  • Professional services
  • Home and field services
  • Agencies and client-service firms
  • Medical and dental administrative workflows
  • Insurance and financial-services administrative workflows
11Not a Fit

We turn down workflows that are not ready.

Rejecting an ineligible workflow is part of the method. A Blueprint Sprint is not a fit if you are asking for:

  • “Fix our whole CRM” or “automate all operations”
  • A full CRM rebuild, ERP replacement, or major software migration
  • A full department redesign
  • Low-volume workflows that cannot be measured
  • Workflows with no internal owner
  • Workflows where system access is blocked
  • Workflows dominated by legal, clinical, financial, or compliance-sensitive judgment
  • Data too messy to automate without a separate cleanup project
This workflow does not qualify for a Sprint yet. The issue is not automation — the workflow is not ready to be automated reliably. Here is what would need to change before it becomes a good Sprint candidate. What we say when a workflow doesn’t qualify
12Fit Check

Does your workflow qualify?

Five questions, mirrored from the real eligibility scorecard we use on fit calls. This is not a binding qualification — the fit call decides.

Question 1 / 5

How many times per week does this workflow happen?

Answers stay on your device. Nothing is submitted from this quiz.

MEASURABLE IMPROVEMENT — TERMS APPLY

Before we build, we agree on one workflow, one baseline, one success metric, and the conditions required for a fair measurement.

Delivery Commitment

If BBS does not deliver the agreed automation and measurement tracker after required access is provided and client responsibilities are met, BBS continues working at no additional labor cost until the agreed automation and tracker are delivered.

Measurable Improvement Commitment

If the agreed metric shows no measurable improvement within the measurement window and the client conditions are met, BBS refunds the project fee.

“Measurable improvement” means the single baseline metric named in the SOW moved in the agreed direction according to the agreed measurement source.

Client conditions (defined in the SOW)

  • System access granted by the access deadline
  • Kickoff inputs provided on time
  • Baseline metric reviewed and accepted before build
  • Minimum trigger volume met during the measurement window
  • Workflow not materially changed during the Sprint or measurement window
  • Automation used as designed

The exact workflow, metric, access requirements, usage volume, measurement window, and refund conditions are defined in the Statement of Work.

15How It Works

From fit check to measured result.

  1. Step 1

    Check Workflow Fit

Answer a few questions about the workflow. If it qualifies, we schedule a 30-minute fit call and tell you directly whether it's a Sprint candidate.

  2. Step 2

    Scope & Baseline

Kickoff, intake, workflow mapping, baseline capture, system access confirmation, and selection of the one automation path.

  3. Step 3

    Connect & Build

Limited process cleanup, automation design and build, AI components where useful, error handling, and testing.

  4. Step 4

    Launch & Walkthrough

Production launch with monitoring, a team walkthrough, and a manual fallback path your team can always use.

  5. Step 5

    Measure & Roadmap

Measurement dashboard, Sprint Impact Report with the before/after result, and a 90-day roadmap for next workflows.

The 30-day clock starts when required client access is provided and kickoff inputs are complete — not at contract signature.

16Why BBS

We fix the workflow before we automate it.

We fix the workflow before we automate it, so the build is grounded in how the business actually runs.

vs. generalist freelancers

Freelancers often build the requested automation directly, even when the underlying process is unclear, inconsistent, or difficult to measure. BBS diagnoses first, builds second, and measures the result.

vs. large consulting firms

Large firms are often too slow, expensive, and heavyweight for a single 30-day SMB workflow automation project. BBS is structurally faster, fixed-scope, and priced for small and mid-sized businesses.

vs. AI hype shops

Hype shops lead with agents before the workflow is ready. BBS starts with the workflow, uses automation where rules are enough, adds AI only where intelligence improves the result, and keeps humans in control where risk requires it.

17FAQ

Common questions.

What if my workflow doesn't qualify?

We tell you directly on the fit call and explain exactly what would need to change before it becomes a good Sprint candidate. Rejecting an ineligible workflow is part of the method.

Do I own the automation?

Yes. Upon full payment, you own the deployed workflows, configurations, documentation, and SOPs delivered under the Sprint — running in accounts you control.

What tools do you use?

Whatever fits your stack. Vendor-neutral tooling is a non-negotiable rule: we recommend what fits the client, not what pays us.

Do you use AI?

Only where it improves the workflow — classification, summarization, extraction, drafting, routing, prioritization, or exception handling. Automation comes first when rules are enough, and human approval stays in the workflow where risk requires it.

Can you automate more than one workflow?

One workflow per Sprint — no exceptions. Scope discipline is the product. Additional workflows go on the 90-day roadmap and become follow-on Sprints.

What happens if something breaks after launch?

Every build ships with error handling, exception routing to a named contact, a manual fallback path, and a rollback plan. The optional Automation Operator Retainer covers ongoing monitoring and maintenance.

When does the 30-day clock start?

When required client access is provided and kickoff inputs are complete — not at contract signature. Access requirements are defined in the SOW and Client Access Checklist.
